Vendor order management monitor that facilitates control and relationships with the Vendor itself.

Module Description

This module introduces the “Vendor Monitor” page, a dashboard designed to provide users with a better and simplified view of purchase orders within Business Central.

The main purpose of this feature is to enable effective and detailed tracking of the order lifecycle, including:

  • Purchase orders issued and their status.
  • The quantities already received and invoiced.
  • The quantities still to be received, highlighting any delays.
  • Specific order details, including those related to subcontracting.

Functionality

The "Vendor Monitor" page is easily accessible using the global search function. Simply type "Vendor Monitor" in the search bar and select the corresponding page from the results.

Filter section

When opened, the page features a top section dedicated to filters, organized into several subsections to allow the user to precisely define the search criteria for the data to be displayed.

Vendor

  • Buy from - Vendor No.: Allows you to select a specific Vendor code.
  • Buy From - Vendor Name: Non-editable field, displays the name of the selected Vendor.
  • Purchaser Code: Allows you to filter orders based on the purchasing agent assigned to the Vendor.

Item

  • Item No.: Allows you to select a specific item code to display only the related order lines.
  • Item Category Code: Allows you to filter the item by product category.
  • Variant Code: Allows you to select a specific variant of the item. Selection is only possible if an "Item No." has been entered and is filtered on the variants associated with that item. 

Document

  • Order No.: Allows you to filter by a specific purchase order number.
  • Expected Receipt Date: Allows you to filter order lines based on their expected arrival date. You can enter date ranges or standard formulas (e.g., "..w" for "to date").
  • Only subcontracting orders: When selected, only displays purchase order lines that are linked to production orders.
  • Only purchase orders: When selected, displays only “standard” purchase order lines, not linked to production orders.
  • Only open orders: If selected (default: selected), shows only order lines with a quantity still to be received (Outstanding Quantity > 0).
  • Only delayed orders: When selected, only displays open order lines (backorder > 0) whose “Expected Receipt Date” has passed (<= today's date) and that have not yet been entered into a warehouse receipt document.
  • Only not confirmed orders: If selected, only displays order lines for which the Vendor has not yet communicated a delivery date (the “Promised Receipt Date” field on the order line is empty).
  • Only confirmed orders: When selected, only displays order lines for which a “Promised Receipt Date” has been entered.

For the filters section, the following actions are present in the bar below: •

  • Calculate: This action searches the database based on the criteria you set and populates the rows below with matching data.
  • Clear Filters: This action resets filters to their default settings.
  • Show/Hide Filter Section: This action allows you to show/hide the filter section.

Rows section

This section displays in tabular format the details of the purchase order lines that match the applied filters and calculated using the "Calculate" action.

The columns displayed provide detailed information about each order line, including:

  • Document Information: Document No., Line No., Document Date, Order Date, Your Reference, Status.
  • Vendor Information: Buy from - Vendor No., Buy from - Vendor Name, Vendor Posting Group, Buy from - Country Code, Purchaser Code.
  • Order Line Type
  • Item Information: Item No., Variant Code, Description, Item Reference No., Item Category Code, Comments (indicates whether there are any comments associated with the line).
  • Quantity and Costs: Unit of Measure Code, Quantity, Invoiced Quantity, Received Quantity, Outstanding Quantity, Direct Unit Cost, Line Discount %, Amount, Outstanding Amount, Currency Code.
  • Logistics and dates: Location code, Requested receipt date, Promised receipt date, Expected receipt date.
  • Production and Receiving: Production Order No. (if subcontracting), Receiving in Progress (calculated field that indicates “Yes” if the line is present in a Warehouse Receipt document not yet recorded), Warehouse Receipt No. (displays the Warehouse Receipt document number, if 'In Receipt' = Yes)

Actions

  • Calculate: Populates the rows section based on the filters you set.
  • Clear Filters: This action resets filters to their default settings.
  • Show/Hide Filter Section: This action allows you to show/hide the filter section.
  • Other standard actions: filters applicable to calculated rows, export of rows, analysis mode. Order
  • Order Card: Opens the full card of the purchase order to which the selected line belongs.
  • Print: Starts the printing process of the selected purchase order report.
  • Receipts: Allows you to view the loads associated with the purchase order to which the selected line belongs.
  • Invoices: Allows you to view the invoices associated with the purchase order to which the selected row belongs.

Line

  • Split quantity in two lines: For selected rows (even from different orders), performs the following operations:
  1. Creates a new line in the original purchase order, identical to the one selected.
  2. Set the quantity of the new line equal to the “Outstanding Quantity” of the original line.
  3. Set the original line quantity equal to the "Received Quantity." The modified line number appears in bold.
  • Edit Receipt Date: Opens a dialog box to update the dates on the selected row:
    • Expected receipt date.
    • Requested receipt date.
    • Promised receipt date (confirmed by Vendor).

Item

  • Item Card: Opens the item data sheet for the selected row.
  • Item Availability by: Replicates the group of standard actions present in the item master data for availability analysis (e.g. Availability by Period, Event, Location, Variant, BOM).

Vendor

  • Vendor card: Opens the Vendor data sheet for the “Purchase from” Vendor indicated on the selected row.
  • Vendor Accounting Transactions: Opens the list of Vendor accounting transactions, filtered by the “Buy-from Vendor” of the selected row
